Save time by updating role or Business Unit access for several users simultaneously. Bulk actions are useful during team restructures, when onboarding a new Business Unit, or any time you need to make the same change for multiple people.
Requirements
Permission required: Manage User Roles & Business Unit Access
This permission is held by Sustainability Administrator and Platform Administrator roles only.
Bulk actions are available for:
Active Users only (not Suspended Users or Pending Invitations)
Select users for bulk action
Click your profile icon in the top right corner and select Manage Users.
In the Active Users tab, click the checkbox next to each user you want to update.
As you select users, a bulk actions bar appears at the bottom of the page.
The bulk actions bar shows how many users you've selected and provides three action buttons: Change Role, Change BU Access, and Suspend Users.
โ ๏ธ For security reasons, you cannot change your own Role or Business Unit access. If you attempt to do so through bulk actions, the change to your profile will not be made and you will see an error message.
Apply a bulk role change
Use this to assign the same role to multiple users at once.
Select the users you want to update using the checkboxes.
In the bulk actions bar, click Change Role.
Select the new role from the list.
Confirm the change.
All selected users now have the new role. Their permissions update immediately.
Apply a bulk Business Unit access change
Use this to assign the same Business Unit access to multiple users at once.
Select the users you want to update using the checkboxes.
In the bulk actions bar, click Change BU Access.
Select the Business Units to assign.
Confirm the change.
All selected users now have the specified Business Unit access. Their data visibility updates immediately.
Apply a bulk suspension
Use this to revoke access for multiple users at once, such as when a team or project ends.
Select the users you want to suspend using the checkboxes.
In the bulk actions bar, click Suspend Users.
Confirm that you want to suspend all selected users.
All selected users are moved to the Suspended Users tab. They're logged out of any active sessions and can no longer access the platform.
Tips
Review your selection carefully before confirming. Bulk changes take effect immediately for all selected users.
You can select users who currently have different roles or Business Unit access. The bulk action applies the same new setting to everyone, regardless of their current configuration.
There's no limit to how many users you can select, so you can update your entire team at once if needed.
If you need to make different changes to different groups of users, process each group separately. Select the first group, apply their change, clear your selection, then select the next group.
Common scenarios for bulk actions
Team restructure: A department is being reorganised. Select all affected users and apply their new role or Business Unit access in one action.
New Business Unit: A new regional office is being added. Select all users who should see the new region's data and add the Business Unit to their access.
Project completion: An external consulting project has ended. Select all the consultants' accounts and suspend them together.
Role standardisation: You're aligning everyone in a function to the same role. Select all users who need the change and apply the new role.
