Change a user's role

Update a user's role when their responsibilities change. Learn how to change roles directly from the Active Users table, with changes taking effect immediately.

Update a user's role when their responsibilities change or when you need to adjust their permissions. Role changes take effect immediately, so the user gains or loses access to features as soon as you save the change.


Requirements

Permission required: Manage User Roles & Business Unit Access

  • This permission is held by Sustainability Administrator and Platform Administrator roles only.

  • If you don't see the option to change roles, you don't have this permission.

The user must be:

  • An active user (not suspended or pending)

  • Already part of your organisation

To change access for someone who hasn't accepted their invitation yet, see "Manage pending invitations".


Steps to change a single user's role

  1. Click your profile icon in the top right corner and select Manage Users.

  2. In the Active Users tab, find the user whose role you want to change.

  3. Click the role dropdown in their row.

  4. Select the new role from the list.

  5. Confirm the change.

โš ๏ธ For security reasons, you cannot edit your own role. You must ask someone else to edit your role for you

Result

  1. The user's permissions update immediately. They may gain or lose access to certain features depending on the difference between their old and new roles.

  2. The user is not notified automatically when their role changes. If the change significantly affects what they can do, consider letting them know directly.

Understanding the impact of role changes

When you change a user's role, their permissions change to match the new role. This might mean:

Gaining access to features they couldn't use before, such as creating workbooks, managing suppliers, or downloading analytics data.

Losing access to features they previously had, such as editing Facilities, managing Data Requests, or viewing the audit log.

Change roles for multiple users

If you don't see a role you expect, your organisation may be on a tier that doesn't include it. Contact your account manager to discuss options.
