Invite new users

Invite colleagues to join your Altruistiq workspace. Learn how to set the right role and Business Unit access for each new team member during the invitation process.

Invite colleagues to join your organisation's Altruistiq workspace. Each invitation can be customised with a specific role and Business Unit access, so you can set up new team members with exactly the right permissions from day one.

Requirements

Permission required: Add and remove Team Members

This permission is held by all roles except External Partner. If you don't see the Invite users button, check with your Sustainability Administrator.

Information to have ready:

  • Email addresses for the people you want to invite

  • Which Business Units each person should have access to

  • Which role to assign to each person

💡Tip: This article focuses on inviting users when entitlement is managed by Altruistiq. If your organisation manages user access through your SSO provider -- e.g. Okta, Azure -- this article will not be relevant.


Steps to invite a user

  1. Click your profile icon in the top right corner and select Manage Users.

  2. Click Invite users in the top right of the page.

  3. Enter the user's email address.

  4. Select the Business Units they should have access to.

  5. Select the role to assign.

  6. Optionally, add a personal message that will appear in the invitation email.

  7. To invite additional users, click Add another user and repeat steps 3–6 for each person.

  8. Click Send invitations.

Result

  1. Invitations are sent immediately to each email address.

  2. Each invitee appears in the Pending Invitations tab, where you can track whether they've accepted.

Choosing the right role

The role you assign determines what the user can do in the platform. Consider the user's job function when selecting:

The available roles depend on your platform tier. AQ Advanced customers can assign all eight roles; other tiers have access to Sustainability Administrator, Sustainability Contributor, and External Partner.


Tips

  • Each user in the invitation can have different role and Business Unit settings. You don't need to invite users with identical access together—customise each person's setup individually.

  • The personal message is optional but can help recipients understand why they're being invited and what they'll be doing in the platform.

  • If you're not sure which role to assign, see "Role definitions and capabilities" for guidance on matching roles to job functions.

Troubleshooting

  • I don't see the Invite users button Check that you have the "Add and remove Team Members" permission. External Partners cannot invite users. If you believe you should have this permission, contact your Sustainability Administrator.

  • I can't find the role I want to assign Some roles are only available on AQ Advanced. If you don't see a specific role, your organisation may be on a different tier. Contact your account manager to discuss options.

  • The user says they didn't receive the invitation Ask them to check their spam folder first. If the invitation still hasn't arrived, go to the Pending Invitations tab, find their email address, and click Resend. See "Manage pending invitations" for more details.
