Schedule recurring exports

Schedule automatic exports from tables and charts that run on a regular basis. This is ideal for distributing routine reports to stakeholders, such as weekly emissions summaries or monthly performance metrics.


Scheduled exports vs alerts

Before setting up an export, consider whether you need a scheduled export or an alert:

  • Scheduled exports run on a fixed timetable and send regardless of what the data shows. Use these for regular reporting, such as a carbon footprint summary sent every Monday morning.

  • Alerts only send when your data meets specific conditions. Use these for exception monitoring, such as when emissions exceed a threshold. See Set up alerts for details on conditional exports.


Create a scheduled export

You can schedule exports from individual tables and charts. The export will be sent to specified email recipients according to your schedule.

  1. Select the table or chart you want to export.

  2. In the toolbar at the top right of the table or chart, click the More menu (⋮).

  3. Select Schedule export.

  4. In the Recipient field, enter one or more email addresses, separated by commas.

  5. (Optional) Add a subject line and message for the email.

  6. Select the file format for the attachment:

    • PDF for visual reports that preserve the layout

    • Excel for data that recipients will analyse further

    • CSV for simple data extracts

  7. In the Frequency section, configure when the export should run (see Frequency options below).

  8. (Optional) Adjust the time zone for the schedule if your recipients are in a different region.

  9. Click Create to save the schedule.

The export will now run automatically according to your schedule, sending the selected table or chart to your specified recipients.

Choose the right format

The format you choose depends on how recipients will use the export:

Manage scheduled exports

Once you've created scheduled exports, you can view and manage them:

  1. Select the table or chart that has a scheduled export.

  2. In the toolbar at the top right, click the More menu (⋮).

  3. Select Schedule export to view existing schedules.

From the schedule list, you can:

  • Edit a schedule to change recipients, frequency, or format

  • Pause a schedule temporarily without deleting it

  • Send now to trigger the export immediately without waiting for the next scheduled time

  • Delete a schedule you no longer need

If a scheduled export fails repeatedly (more than 10 consecutive failures), it will be automatically paused and you will receive an email notification. You can resume paused exports from the schedule list by selecting Resume from the More menu.


Tips for effective scheduled exports

  1. Test before you schedule. Use the Send now option after creating a schedule to verify the export looks correct before it goes to stakeholders.

  2. Check active filters. The export captures data based on any filters currently applied. Make sure filters are set appropriately, or use the Customise control values option to specify exact values for the export.

  3. Consider your recipients' needs. If stakeholders need to explore the data interactively, include a link to the workbook in the email so they can access the full analysis.

  4. Review schedules periodically. Exports that were useful six months ago may no longer be needed. Check your active schedules occasionally and pause or delete those that are no longer serving their purpose.
