Download and export options

Export pages, tables, and charts from Analyse data as PDF, PNG, Excel, CSV, or JSON. Download directly, send by email, or use export buttons. Includes permission levels, format guidance, and export limits.

Export your work from Analyse data to share with colleagues, include in presentations, or use in other tools. You can download pages and individual tables or charts directly to your device, or send exports via email.


What you can export

You can export workbook pages and individual tables, charts, and pivot tables. The available formats depend on what you're exporting:

💡Tip: Users with the 'External Partner' role have do not have the permission to download data, even though they have Full Explore permissions.

Download a page

  1. Open the workbook containing the page you want to export.

  2. Navigate to the page you want to download.

  3. Click the page menu (▼) next to the page name at the bottom of the screen.

  4. Select Export....

  5. Keep the default selection of Direct download.

  6. Choose your preferred format (PDF, PNG, or Excel).

  7. Click Export.

The file downloads to your device.

Download a table or chart

  1. Select the table, chart, or pivot table you want to export.

  2. In the toolbar at the top right of the table or chart, click the menu (⋮).

  3. Select More, then Export.

  4. Choose the file format you want.

The file downloads to your device. The available formats depend on what you're exporting.

Use export buttons

Some workbooks include buttons that trigger exports when clicked. These buttons are set up by workbook creators to make it easy to download specific content in a predefined format.

When you click an export button, the download starts automatically. The button label typically indicates what will be exported, such as "Download emissions report" or "Export to Excel".

If you have the 'Create & edit workbooks' permission, you can create your own export buttons. Select a button, then configure an action to download a specific page, table, or chart in your chosen format.

Send exports by email

You can send exports directly to email recipients instead of downloading them to your device:

  1. Navigate to the page or select the table or chart you want to export.

  2. Open the export menu (from the page menu or the menu at the top right of a table or chart).

  3. Select Export....

  4. Choose Email as the destination.

  5. Enter the recipient email addresses.

  6. Choose your preferred format.

  7. Click Send.

The export is sent to the specified recipients as an email attachment.

Choosing the right format

PDF creates a visual snapshot that preserves the exact appearance of your charts and tables. This format is ideal for reports and presentations. For example, you might export a quarterly emissions summary as a PDF to include in a board presentation. Tables in PDF exports display up to 1,000 rows.

Excel exports your data in spreadsheet format, allowing further analysis. Choose this format when you need to share data with colleagues who want to work with the numbers, or when you need to combine data from multiple sources.

CSV provides raw data in a simple comma-separated format that works with almost any tool. This format is useful when you need to import data into other systems or when file size matters.

PNG creates an image file of a page, table, or chart. Use this format when you need to embed a chart or table in a document, email, or presentation as a static image.

JSON exports data in a structured format commonly used for technical integrations. Choose this format when you need to use the data programmatically or import it into other systems.

Export limits

Exports have size limits depending on the format:

If your data exceeds these limits, the export will be cut short. For large tables that exceed the PDF row limit, consider exporting to Excel instead, or apply filters to reduce the data before exporting.

When exporting pivot tables to Excel, the 1 million row limit applies to the flattened version of the table (all rows expanded).


Tips for successful exports

Check your filters before exporting. Any filters or control values active when you export will affect what data appears in the exported file. Make sure the workbook shows the data you want before starting the export.

Export the published version for sharing. If you're editing a workbook and want to export the published version that others see, close Edit mode first. Exporting while editing will export your draft version, which may include unpublished changes.

Consider your audience when choosing formats. PDF works well for stakeholders who need to view results, while Excel is better for colleagues who need to work with the underlying data.
