Pre-calculated emissions: Transportation data requirements (Beta)

Use this guide to prepare your data before uploading to ensure accurate processing.

Updated over a week ago

⚠️ Pre-calculated emissions are only available for beta-users for now. We will notify you when this feature becomes available.

This article explains what data you need to provide when uploading pre-calculated emissions for Transportation activities.

What activities does Transportation cover?

The Transportation activity area includes these specific activities:

  • Business Travel - Owned Vehicles

  • Business Travel - 3rd Party Travel

  • Logistics - In-house Logistics

  • Logistics - 3rd Party Logistics

  • Commuting

Required data fields

Location assignment (choose one approach)

You must assign emissions to either a facility or business unit:

Option 1: Facility Assignment

  • Facility Name: Select from your existing facilities in the platform

Option 2: Business Unit Assignment

  • Business Unit: Select your business unit

  • Business Unit Country: Required when using business unit assignment (enables country-specific emission factors)

⚠️ Note: for Commuting activity, Estimated Passenger-Distance calculation method, data must be assigned by facility

Basic information (required for all activities)

Activity Name

  • Select the specific transportation activity from the list above

  • This determines how your emissions are categorised and which calculation methods are available

Calculation Method

  • Choose the method that matches how your emissions were calculated

  • For each sub-activity, you can choose from available calculation methods below

Sub-activity

Available calculation method

Business Travel - Owned Vehicles

One of:

  • Transport Passenger-Distance

  • Transport Distance-Based

  • Transport Fuel-Based

Business Travel - 3rd Party Travel

One of:

  • Transport Passenger-Distance

  • Transport Distance-Based

  • Purchases Spend-Based

  • Transport Fuel-Based

Logistics - In-house Logistics

One of:

  • Transport Weight-Distance

  • Transport Distance-Based

  • Transport Fuel-Based

Logistics - 3rd Party Logistics

One of:

  • Transport Weight-Distance

  • Transport Distance-Based

  • Purchases Spend-Based

  • Transport Fuel-Based

Commuting

One of:

  • Estimated Passenger-Distance

  • Transport Passenger-Distance

  • Transport Distance-Based

  • Transport Fuel-Based

  • Choose your calculation method based on your available data:

    • Transport Passenger-Distance: When you have passenger kilometres (flights, trains, buses)

    • Transport Weight-Distance: When you have freight data with weight and distance (logistics, shipping)

    • Transport Fuel-Based: When you have actual fuel consumption data (company vehicles)

    • Transport Distance-Based: When you only have distance travelled (any vehicle type where you can assign full volume of emissions to the passenger or goods transported)

    • Purchases Spend-Based: When you only have spend data from third-party providers

    • Estimated Passenger-Distance: For commuting when using employee estimates

GHG Calculation Method

  • This field is pre-filled based on your calculation method selection (see below)

  • Verify the method shown matches your approach

Travel Date

  • Enter the date your emissions should be allocated to

  • Use this for the specific travel date or reporting period

Input Quantity and Input Unit

  • Enter the activity data quantity (e.g., 1,200, 45.5)

  • Select the appropriate unit (e.g., km, passenger.km, t.km, GBP, USD)

Why do I need to provide input quantity and input unit?

Activity inputs enable analytics capabilities of AQ platform. Using them, you will be able to track your emission trends on a comparable basis and plan emission reduction initiatives

Emissions Are Estimated

  • Select "Yes" if your emissions are estimated

  • Select "No" if they're based on measured or calculated data

Emission quantities by lifecycle stage

You need to split your total emissions across relevant lifecycle stages. The required stages depend on your activity type and calculation method (marked with ✅ if required)

Vehicle Use Emissions

Cradle-to-Purchase Gate

Business Travel - Owned Vehicles

Business Travel - 3rd Party Travel, purchases spend-based method

Scope category assignments (required)

For each lifecycle stage with emissions, the template would provide default the scope category. You can change the scope assignment by using the drop-down menu in the template.

Can I provide emissions by scope separately?

Pre-calculated emissions template is designed for you to enter all emissions related to the same activity across different scope categories together. This ensures completeness of your footprint and compliance with GHG Protocol

Optional data fields

Emission Description

  • Add descriptions to help with analysis and reporting

  • Useful for categorising different types of travel or routes

Record ID

  • Add a unique identifier to link back to your raw data

  • Must be unique across all records if provided

Supplier Information

  • Supplier Name: Enter the transport service provider (required for accurate supplier-specific emission factors)

  • Supplier Country: Required if supplier name is provided

  • Supplier VAT Number: Optional tax identification number

Adding supplier information helps identify supplier-specific emission factors and enables supplier engagement features.
