To share a workbook, copy the URL from your browser and send it to a colleague. As long as they have access to your organisation and the right permissions, they'll see the same workbook when they open the link.
Before you share
For a colleague to open a workbook you've shared, they need:
A seat in your organisation — workbook links only work for people who have a seat in the same Altruistiq organisation as you.
The right permissions — at minimum, your colleague needs the View Workbooks and Datasets permission. Their role determines whether they can also explore or edit the workbook. See Understanding workbook and analytics permissions for details.
Access to the workbook's location — workbooks saved in My Documents are private to you. If you want a colleague to access a workbook, make sure it's saved in your account's shared workspace ([Account name] Documents) or in a shared folder. See Navigating Analyse data for more on where workbooks are stored.
Share a workbook
Open the workbook you want to share.
Copy the URL from your browser's address bar.
Send the URL to your colleague via email, Teams, or any other channel.
Result: When your colleague opens the link, they'll see the workbook with their own permission level applied. If they have View access, they'll see the published version. If they have Explore or Edit access, they can switch into those modes.
What your colleague sees
Your colleague sees the same workbook structure — the same pages, tables, and charts — but the data displayed may differ depending on their Business Unit. Analyse data filters results based on each user's Business Unit access, so two people viewing the same workbook may see different underlying data.
Tip: If a colleague reports they can't access a workbook you've shared, check two things: that the workbook is saved in a shared location (not My Documents), and that their role includes the View Workbooks and Datasets permission. Your Platform Administrator can help verify both.
